CROWNWeb and Masked SSN/HICNUM

The Centers for Medicare & Medicaid Services (CMS) and its CROWNWeb application development organization are working to support an upcoming system update to no longer display patients’ full Social Security Number (SSN) and Health Insurance Claim Number (HICNUM) on select screens and reports.

WHY: The update supports the Social Security Number Removal Initiative (SSNRI) and CMS’ transition to Medicare Beneficiary Identifiers (MBIs).

BENEFITS: Masking patients’ SSN and HICNUM in CROWNWeb will assist CMS’ initiative and Medicare beneficiaries by providing an additional layer of privacy to sensitive data, decreasing Medicare beneficiaries’ vulnerability to identity theft, and ensuring that data is not visible to unauthorized personnel.

UPDATED CROWNWeb FORMAT:

• SSN will be masked using capital X’s except for the last 4 digits on submission/saved.
• The current SSN format will be used. (ex. XXX-XX-1234)
• The full SSN will be visible when editing data.
• The full SSN will be stored in the database.
• Only the second thru sixth digits of the HICNUM will be masked.
  (ex. 2XXXXX123B)
• The current formats for SSN and HICNUM will not change.

Are You Doing Your PART?

With the design of CROWNWeb, CMS works to ensure that checks and balances are in place to support the accuracy and validity of data reported by and for facilities. Error messages and warnings display to provide users with immediate feedback regarding reported or missing values. Additionally, modules, such as PART, provide users with a way of verifying current data.

What is PART?

PART (Patient Attributes and Related Treatment) is a set of patient personal information and treatment history. Accessible via the Patients tab in CROWNWeb, PART displays data obtained from the following CROWNWeb screens:

• Admit/Discharge
• Patient Attributes
• Dialysis Treatment Information

PART is used to verify the following every 30 days:

• Admit/discharge status (including Transients)
• Current treatment information
• Current attending physician

PART verification must be completed by the fifth business day of each month. Access the View and Verify PART Data training module on www.MyCROWNWeb.org for more information.
